Construction Project Administrator

Position Overview

The Construction Project Administrator supports the Project Manager and project team in coordinating and monitoring construction projects to ensure progress aligns with established timelines, documentation standards, and organizational procedures.

This role is responsible for maintaining project documentation, facilitating communication among stakeholders, and ensuring consistent follow-up on action items. The ideal candidate is highly organized, detail-oriented, and experienced in construction administration within a structured project environment.

Key Responsibilities

  • Maintain and organize project documentation, ensuring accuracy and version control.

  • Track action items and ensure timely follow-up with vendors, contractors, and internal stakeholders.

  • Support communication of project plans, risks, issues, and progress through meetings, reports, and correspondence.

  • Assist the Project Manager with administrative functions including scheduling, maintaining logs, and supporting bid/proposal processes.

  • Coordinate project meetings, record detailed minutes, and distribute action items.

  • Support project closeout activities and ensure proper control and turnover of technical documentation.

  • Distribute and track project-related technical and administrative documents.

  • Monitor project progress according to established procedures and reporting standards.

Required Qualifications

  • Associate’s degree or equivalent professional experience.

  • Minimum of 2 years of experience in construction management, estimating, or construction administration.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, and Project).

  • Experience using Procore.

  • Strong written and verbal communication skills.

  • Demonstrated ability to anticipate issues and proactively solve problems.

  • Exceptional attention to detail and organizational skills.

Preferred Experience

 

  • Experience supporting commercial, industrial, or energy-related construction projects.

  • Familiarity with bid and proposal coordination.

  • Experience managing documentation for multi-stakeholder projects.
